The Information Regulator has published a guide on how to use PAIA, in every official language. It is free from the Regulator at 54 Maxwell Drive, Woodmead, Johannesburg, 2191, by email at enquiries@inforegulator.org.za, by phone on 010 023 5200, or at inforegulator.org.za.
3. Records we hold

4. Records you can have without asking
Our price list, service descriptions, terms of service, cancellation policy, privacy notice, this manual and general information about working as an Agent are free on our website and in the app, and on request from the Information Officer.
5. How to request access
- Send a request to the Information Officer on the form prescribed in the PAIA regulations (Form 2 for a request by a person other than the data subject, Form 3 where you are the data subject), or in an email that gives your details, the record you want and the form you want it in.
- We may ask you to identify yourself, pay a request fee, and pay an access fee where the regulations provide for one. We tell you the amount and why before we start, in writing, and some fees are waived.
- You will be told within 30 days whether the request is granted, and we may extend that by a further 30 days in the cases PAIA allows, telling you why.
- If a record is refused, you will be given the ground of refusal. You may complain to the Information Regulator or apply to a court within 180 days.
6. Personal information and POPIA
Where a request concerns personal information, we apply POPIA: we process personal information for the purposes the privacy notice sets out, and a data subject's own request is dealt with under the privacy notice and POPIA rather than charged as a PAIA request.
- Data subjects: customers, Agents and applicants, staff, suppliers and website visitors.
- Recipients: the payment provider, the security partner during an alert, and service providers who host, message and email for us, all under written operator obligations.
- Cross-border: some providers process outside South Africa, and we only use providers bound by law or contract to a substantially similar level of protection.
- Security: access control, restricted access to sensitive documents, private storage, secure connections and an audit trail of approvals.
- Retention: the schedule in our Data Handling Policy.
- Special information: police clearance information needs prior authorisation from the Information Regulator. We rely on the applicant's express consent and the authorisation where the law requires it.
